Organisations can determine how long meetings are stored. When an admin configures a custom retention period, all meetings created within the organisation will be automatically and permanently removed once the specified period has elapsed. After deletion, the meeting data will no longer be available to any users in the organisation.
Retention periods are defined as the time from meeting completion until the configured limit.
For example, if the retention period is set to 31 days, and a meeting is created on May 11, 2025 at 10:00 AM, once 31 days have passed, the meeting will be automatically & permanently deleted on June 11, 2025 at 10:00 AM. From then onwards, the meeting will no longer be accessible to any users in the organisation.
How to Configure a Retention Period
Retention periods must be requested by an authorised admin-level contact from your organisation. To set a retention policy, please contact your Model ML account manager.
Please note that retention period settings are organisation-level, not per-user, and will apply to all meeting artefacts. Meeting artefacts include transcripts, summaries, AI outputs, and any derived content generated during a meeting.
In your message, please include the number of days, months, or years you would like to set for your organisation’s meeting retention period.
Any retention period configured will apply only to meetings created after the policy is set. Existing meetings will remain unaffected and will continue to be stored.
If you would like the retention period to apply to past meetings as well, please contact your account manager and the team will review your request to determine how best to accommodate it.
No Retention (Live-only Mode)
You may chose to delete meetings immediately after completion. This means:
Meeting context, such as the live transcript and meeting chat is only available during the live meeting session.
Once the meeting ends, no data is stored on the platform.
Users cannot access past meetings.
No transcripts, summaries, or derived artefacts persist.
Remember, retention periods will be applied at organisation-level; not per user, all meeting artefacts follow the same policy, and meetings will be automatically and permanently deleted; they cannot be recovered.
