Meeting Report Templates

Meeting report templates let you define a reusable structure for your meeting summaries. Instead of starting from scratch each time, you can create templates with custom sections and prompts that tell the AI exactly what to extract from your transcripts, whether that's action items, key decisions, follow-ups, or anything else relevant to your workflow.

Model ML provides preset templates to get you started, and you can create unlimited custom templates tailored to your specific meeting types.


How Templates Work

A template is made up of:

  • Template Name: a label to identify the template (e.g., "Weekly Standup", "Client Discovery Call").

  • Meeting Context: optional background information that helps the AI generate better summaries (e.g., "These are calls with portfolio companies to discuss quarterly performance").

  • Sections: the building blocks of your report. Each section has a title and a prompt that tells the AI what to extract from the transcript.

When you generate a report for a meeting, the AI processes your transcript against each section's prompt and produces a structured summary matching your template.


Creating a Template

  1. Navigate to Meetings and open the Templates panel.

  2. Click New Template.

  3. Give your template a name.

  4. Optionally add meeting context to guide the AI.

  5. Add sections either:

    • Manually: click Add Section and enter a title and prompt for each section.

    • With AI: click Generate Sections, describe what you need (e.g., "Give me sections for action items, key decisions, and next steps"), and the AI will create appropriate sections for you.

  6. Drag and drop sections to reorder them as needed.

  7. Click Save.

You can edit, duplicate, or delete your templates at any time from the Templates panel.


Preset Templates

Model ML includes preset templates such as Business Insights and Customer Discovery that are available to all users. Preset templates are read-only, so you cannot edit or delete them. However, you can clone any preset template to create your own editable copy.


Setting a Default Template

You can designate one of your templates as the default. The default template is automatically applied to any meeting that does not match another template's keywords.

To set a default, open a template in edit mode and toggle Set as default template. If another template is already set as the default, you will see a note indicating which template will be replaced.

Please note that only one template can be the default at a time.


Automatic Template Assignment with Keywords

Templates can be automatically assigned to meetings based on keywords in the meeting title.

  1. Open a template in edit mode.

  2. Under Automatically apply to future meetings, type a keyword and press Enter to add it.

  3. Repeat for additional keywords.

When a new meeting is synced from your calendar, the system checks the meeting title against all template keywords. If a match is found, that template is automatically assigned to the meeting.

  • Keyword matching is case-insensitive.

  • If multiple templates match, the oldest matching template is used.

  • Keywords are disabled when a template is set as the default, since the default is already applied as a fallback.

  • Manual template assignments always take priority over automatic assignments.


Sharing Templates

By default, templates you create are private to you. You can share them with specific team members or make them available to your entire organisation.

To share a template, click the Share button on any template you own and select the desired sharing scope. Shared templates can be viewed and used by others, but only the owner can edit or delete them.


Generating a Report

Once a template is assigned to a meeting (automatically or manually), you can generate a report:

  1. Open a meeting from your Meetings page.

  2. Select a template from the template dropdown if one is not already assigned.

  3. Click Generate Report.

  4. The report is generated asynchronously. You will see each section populated with AI-extracted content from your transcript.

You can change the template at any time before generating a report. If a template was auto-assigned, selecting a different one will override the assignment.


Template Assignment Indicators

When viewing a meeting, you will see how the current template was assigned:

  • Assigned manually: you selected this template yourself.

  • Assigned based on keyword match: the meeting title matched one of the template's keywords.

  • Assigned from your default template: no keyword match was found, so your default template was applied.


Key Things to Remember

  • Preset templates are read-only but can be cloned.

  • Only one template can be set as the default at a time.

  • Keywords enable automatic assignment. The system checks meeting titles when new meetings are synced.

  • Manual assignments always override automatic ones.

  • Templates are private by default. Use the Share button to make them available to others.

  • AI-generated sections can be edited after creation. Use them as a starting point and refine as needed.
